There’s no question that we’re going to cross the finish line together as a team, but how do we make sure we get the most out of these spring classics? Doing so requires the necessary preparation and training, from both us and you.

Tip 1

Plan ahead

By planning the route ahead carefully, we can reduce the peak load together. This will enable us to process and deliver your parcels and post on time, and keep your customers happy.

  • Spread out your sales promotions as much as possible from March through to June. Have you thought about direct mail?
  • We have greater capacity for (letterbox) parcels at the end of the week: please try to take this into account.
  • Get your parcels to us early in the day.
  • You can deliver your parcels to us on Sundays too.
Tip 2

Good race preparation is key

This way, we can jointly ensure the successful delivery of your shipments to your customers on time. And, because your customers can see the status of their order at any time, there is reduced pressure on your customer service.

  • If you have additional parcel volumes, let us know on time and factor in the deadlines that apply for each peak week.
  • If you have extra post and letterbox parcels, inform your account manager.
  • If you will be needing extra roller containers, don’t forget to request this too.
  • Provide us with your schedule in good time.
  • Use our notification service to keep your customers updated.
  • Turn on the ‘Collection from a PostNL location’ delivery option.
Tip 3

Know the international rules

Shipments to a foreign country may be subject to slightly different arrangements. However, armed with the right knowledge and information, you will find this just as easy as sending items within the Netherlands.

  • Refer to the drop-off locations for international returns on your website.
  • Be sure you use the correct address format for each country - the rules may differ from country to country.
  • Make sure you package parcels securely in order to avoid them getting damaged in transit.
Tip 4

Do training on ‘Returns'

Make it as easy as possible for your customers to return an order. That way, you will have more satisfied customers - customers who are happy to come back to you!

  • Extend your returns period to at least thirty days.
  • Make sure your (international) returns policy is clear to your customers. If things are busy, inform your customer that it may take longer than usual to process their return.
  • Make sure you have enough capacity to process your (international) returns.

Tip 5

Get ahead of the game

Pass the baton correctly to us, and we will do the rest!

  • Be efficient when packing parcels and make all parcels as small as possible.
  • Make sure all your shipments are ready before your designated time slot.
  • Use the space in the roller container efficiently.
  • Hand over irregularly shaped parcels separately.
  • Separate the parcels for Belgium.
  • Make sure your shipping label and barcode are correct and clearly printed.
  • Affix your shipping label to the big side at the top of your parcel. See all our tips on the best way to affix your shipping labels.
  • If you are sending large consignments of letterbox parcels or post without track & trace, add a coding line.
Tip 6

Keep everyone up to date

Satisfied customers will always be happy to use your service again. So, keep your customers informed about delivery times. This will ensure that you can fulfil your delivery promise (including for international deliveries) and that the recipient is satisfied.

  • Use our business track & trace module.
  • Always include the e-mail address of the recipient in the pre-registration.
  • Draw your customer’s attention to the benefits of the PostNL app: it’s quick and easy to use and lets you do all your PostNL business in one place.
  • Use e-mail notification to keep your customers informed.

Scheduling pickup appointments online

Mijn PostNL lets you plan all your pickup appointments yourself. It gives you a better overview and control over your schedule. You can request additional volume or cancel a pickup appointment at any time. You’ll also find an overview of all your pickup appointments.

Refer to the right T&T environment

Sometimes, confirmation e-mails from our corporate shippers do not contain a link to PostNL track & trace or the link is erroneous. As a result, recipients cannot track their parcels properly, and will not have the option to change the delivery time or place. Want to find out more about how to get your reference right?

Sending parcels abroad?

Inform your foreign customers that they should expect a different delivery time. Less frequent international transport and pressure during peak periods mean orders may take longer than you are used to. Check the current status for each country and sign up for alerts.
